Introducing iPEP (iProductive Environment Platform)
The Key to Long-Term Filing Success: Finding System vs. Filing System
While most offices have filing systems, very few have filing systems that work--or what we call finding
systems. The problem? Naming your files. The same information can be
filed in numerous ways, for example: car, auto, Toyota, vehicle--and
often times is filed in numerous ways, resulting in wasteful, non-productive duplication, and more time spent searching for the information.
So whether you have piles of papers
on and around your desk, or even neat looking, color coded files in
your filing cabinet, if you can't FIND the information when you need
it, it makes no difference how good or bad your office looks.
The solution? A 'finding system'.
A great example of an efficient
finding system is Google. If you're looking for information on the
internet, you simply enter a word into a box, click 'search', and
voila! You are immediately directed to the information you're looking
for.
Some of the bigger corporations are
using Microsoft Sharepoint, or at least have planned on deploying this
tool: however, the learning curve is large and it's stuck in the
development phase. With the iPEP system, you can
create a secured shared environment for just yourself to use, or
include as many users/team members as you like by creating a dashboard
of the programs, websites, and files you most often need.
If you are currently a Paper Tiger Software user, you get the concept! iPEP
is a similar tool, yet is web based and much more advanced. No need to
convert, unless you are ready for the newest technology and have a need
to share or access information away from your primary computer. Mac
users --great news, since iPEP is web based, you can now organize your
files too! |
-
Set up the basic folders, for action files, reference files and archives.
-
Inventory the files with as many keywords as you can think of.
-
Search the files later based on the keywords and be directed to where the file is located.
More advanced:
- Import scanned documents that relate to the physical files.
- Add photos relative to the file.
- Link to websites that correspond to the file.
- Add non-physical information such as ideas, quotes, thoughts--even your grocery list
Little extras:
- The iPEP is a web based product, so you can access it anytime you have access to the internet.
- Share documents like Excel spreadsheets, PowerPoint files, etc...
- Collaborative page editing
- Maintain a complete history and audit trail
- AND have full security, using Secure Socket Layer (SSL) technology
Life is getting more simple, more organized, and now more accessible!
